Privacy Policy

LutraPets ("we," "us") provides software tools for animal welfare organizations, including LP Pantry. This policy explains what information we collect and how it's used.
What we collect
- Account information for staff who use LutraPets products (name, email, role).
- Client/household information entered by staff using LP Pantry (name, contact information, address, household details) — this data belongs to the organization using the software, not to LutraPets.
- Basic usage information (log-in activity, support ticket submissions) to help us maintain and improve the product.
How we use it
- To provide the core functionality of LutraPets modules and related tools.
- To send transactional communications (password resets, support responses) — never marketing email without explicit opt-in.
We do not sell client or organizational data, to anyone, for any purpose.
Data isolation
Each organization's data is kept separate and is not visible to other organizations using LutraPets, with the exception of purpose-built cross-organization tools (like Atlas) where data-sharing is the explicit, disclosed function of that tool.
Data retention & deletion
An organization can request deletion of its data at any time by contacting us. We retain data only as long as necessary to provide the service or as required by law.
Third-party services
We use trusted third-party providers to operate LutraPets. These providers process data on our behalf and are not permitted to use it for their own purposes.
Optional integrations with your other software
Some LutraPets products offer optional integrations with software your organization already uses elsewhere (for example, connecting LP Pantry to a shelter management system). If you enable one of these integrations, you're authorizing LutraPets to access data in that external system on your behalf, using credentials you provide, for the specific purpose the integration describes — for example, looking up an existing record or adding a note to it.
We only access what a given integration needs to do its job, and we don't store more of that external data than the integration requires to function. The same rules apply here as everywhere else in this policy: we don't use it for marketing, and we don't sell or share it beyond what the integration itself does.
Enabling an integration is always optional and can be turned off at any time. Turning it off doesn't remove or alter anything already recorded through it, in either system.

By using LutraPets products, you agree to the following:
Use of the service
LutraPets products are provided for legitimate animal welfare and nonprofit operational use. You agree not to use the service for any unlawful purpose or in a way that could harm other users or organizations on the platform.
Your data
Your organization retains ownership of all data you enter into LutraPets products. You are responsible for the accuracy of information entered and for obtaining any necessary consent from individuals whose information you record.
Pilot / early-stage software
LutraPets products may be in active development, including features in pilot or beta status. We make reasonable efforts to maintain reliability but do not guarantee uninterrupted service, and early-stage features may change based on user feedback.
Account responsibility
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.
Limitation of liability
LutraPets is provided "as is" without warranties of any kind. To the extent permitted by law, LutraPets is not liable for indirect, incidental, or consequential damages arising from use of the service.
Changes to these terms
We may update these terms as the product evolves. Continued use of the service after changes constitutes acceptance of the updated terms.
