How do I add a new client?+

From the All Clients list, click "+ New Client" and fill in their info. Only staff and admins can add or edit clients — volunteers can search for and view existing clients, but not create new ones.

What does "possible household match" mean?+

While you're filling in a client's address, phone, or email, the app checks it against existing clients. If it finds a close match — same address (even if a unit number is missing on one side), same phone, or same email — it'll prompt you to confirm whether this is the same household. Confirming links both clients together so your reports and duplicate-checking treat them as one family.

What's the difference between Client Tags and Visit Tags?+

Client Tags describe the person (e.g. "veteran," "senior," "TNR interested") and stay on their profile across every visit. Visit Tags describe a single visit (e.g. "first-time," "declined food") and only apply to that one record. Both are configured by an admin under Settings.

Can I filter the client list by tag?+

Yes — on the All Clients page, use "Filter by tag" to search for and select one or more tags. It combines with the name/phone/email search.

What are Documentation Types?+

If your org needs to track proof-of-need or ID requirements, an admin can define acceptable document types under Settings → Documentation Types (e.g. "Government ID," "Proof of address"). This only shows up on a client's profile if your org has documentation tracking turned on.

How do QR client ID cards work? (Pro)+

Print a wallet-sized card per client (one at a time from their profile, or in bulk from the All Clients list) with a QR code encoding their client ID. At the pantry, staff scan the card at /scan using the device camera, and it jumps straight to logging a visit for that client — no searching needed.
