Logging a Visit

The core day-to-day workflow — finding a client and recording what they received.

How do I log a visit?+

Click "Log a Visit" in the top nav, then search for the client by name, phone, or email (or scan their QR ID card, if your org uses those). Once you've picked the client, fill in what they received and save.

Why don't I see a Notes field when logging a visit?+

Notes are hidden from the volunteer role specifically — staff and admins see it. This is intentional, not a bug.

A client can't be logged for a visit again yet — why?+

Your organization may have a visit frequency limit turned on (for example, one visit per household per month). If a client is within that window, the app will tell you when they're next eligible instead of letting the visit through. An admin can adjust this under Settings → Visit Frequency.

What's the feeding calculator?+

A Pro-plan feature. If your org has it configured (Settings → Feeding Calculator), it suggests how much food to give based on the number and size of a client's pets, using default bag weights your admin sets up (Settings → Bag Weights) — so portions stay consistent no matter who's logging the visit.

What are "locations," and do I need to pick one when logging a visit?+

If your organization operates more than one physical site, an admin can set up Locations under Settings. Each location can be restricted to certain visit types (e.g. a location that's only ever used for mobile distributions). If your org only has one location — or none configured — you won't see this field at all.
